Import Payment Amounts (CSV)

Depending on your chosen setting, this method can overwrite any basic pay amounts set for the employee on the payrun.

When viewing the Payrun, select Import Payments near the bottom-left of the page.

If you have multiple pay periods, i.e. monthly and weekly, you can select which period you’re importing for.

Select the appropriate option to upload your CSV file.

Mapping Fields

You’ll now have the opportunity to map the fields from your CSV file.

As a minimum, you must have the Payroll Code for each employee and an amount.

If you pay by the day or the hour, you can set a field to say how many days or hours you want to pay.

You can save the mapping options to later re-load them.

Mappings are employer-specific, so saving them for one employer won’t make them accessible when working with other employers.

However, if there are no saved mappings for an employer, then it’ll default to whatever options you’ve previously used, regardless of which employer it was.

Multiple Lines

By default, we assume that whatever you’re importing is for the regular pay amount for the employee and it’ll be assigned to the relevant code if you’ve not specified another pay code.

You can also import multiple lines for the employee.

To do this, you’d just have two (or more) rows in the CSV with the same employee Payroll Code.

We highly recommend that if you do this. You also use a column to specify what Pay Code you should assign to the payment.

Behaviour Options

You have three choices when it comes to selecting the behaviour.

Replace Current Payments

The data you provide will replace the current values for the regular pay.

We use the first line for an employee as the regular pay. We will add any additional lines.

If you don’t provide any additional lines, we will remove any lines already present on the entry.

Replace Lines only

Current values for the regular pay will be kept as-is.

We use all lines in the data you provide to replace any additional lines on the entry.

Append to existing lines

Current values for the regular pay will be kept as-is.

We will keep any current, additional lines.

We will append all lines in the data you provide to any existing additional lines on the entry.

Once you have mapped your fields and set your options, select Import Data and your payrun will update.

Notes

  • All employees in the file must be paid on the same basisYou must pay all employees in the file using the same basis, i.e., hourly, daily, or a fixed amount for the period.
  • All Payroll Codes present in the file must also be present in the payrun.
  • Any employees on the payrun who are not in the file will not be changed.
